Technology Solutions Check List

  • Voice and Data Cabling
    • While the walls are open this is the time to run your cable. Consider more then one voice and data drop per location.
    • Make sure you accommodated for future growth.
    • Select the location for printers, scanners and copiers in common areas and run your network cabling accordingly. Make sure there is adequate power near these network jacks as well.
    • Install network locations in the ceiling for wireless access points
    • Pick locations for wall mounted phones such as copy rooms or the cafeteria
    • Run coaxial cable for cable television or satellite television. You might even be able to package this with high speed Internet for a redundant Internet connection.
  • Phone Systems
    • Consider desktop faxing and voicemail to email functionality
    • Voice over Internet Protocol (VoIP) can be expensive but can also pay for itself in a short period of time if you have multiple offices.
  • Phone and Internet Service
    • It can typically take over two months to get voice and data T1’s installed or DID phone numbers ported. This should be one of the first calls you make once you sign your lease.
    • Make sure you get at least three quotes. Prices, SLA’s and managed\unmanaged services can vary. Some ISP’s offer two T1’s for under $900 a month.
  • Conference Rooms
    • Did you look into ceiling mounted projectors, adapters mounted in the conference room table, and audio systems? They are typically much less expensive when installed during the construction phase.
    • Coring holes in the floor can be a cheap way to free up space in your conference room by eliminating room for furniture to house your equipment (re. projectors, cables, network connections, etc.).
    • Even if you are not going to purchase a ceiling mounted projector run a low cost Ethernet cable from a wall or the floor to the ceiling for future use.
  • Security\Heat & HVAC in the Server Room
    • Card Access system can be installed and can be cost effective if done so while the walls are open. This is a great way to secure the server room or data closets.
    • Make sure there is adequate ventilation and air conditioning in the server room. The server room will heat itself in the winter when the rest of the office is calling for heat.
    • Accommodate for the proper electrical outlets for UPS’s. Maybe even make sure that ever plug in your server is not on the same circuit.
